Staff Guide
Run the floor,
not the software.

Spin for members, validate quests, check people into events, fulfil offers, and — if your club uses it — work the door and the till. Everything a staff member does, step by step.

Section 1

Signing in

Staff sign in with their Google account — no separate password to remember. The club owner adds your email so you have access.

  1. Open your club's staff link (your owner will share it — it ends in /staff).
  2. Tap Continue with Google and pick your work account. You land on the staff console (the plain grey screens — that's the staff side).
Can't get in?

If Google won't let you through, your email probably isn't added yet. Ask the owner to add you, then try again.

Section 2

The staff console

The staff console is the grey-themed area. Move between jobs with the tabs at the bottom. Members never see this side — they see their own branded portal.

yourclub.osocios.club/staff

Most jobs start by finding the member — type their member code or scan the QR on their profile.

Staging vs. real

If you see a yellow bar reading staging at the top, you're on the practice site — nothing there is real. The live club has no yellow bar.

Section 3

Spin & prizes

You can spin the wheel on a member's behalf, and hand out prizes they won themselves.

Spin for a member

  1. Open the Spin tab and look the member up by code.
  2. Tap to spin. The result shows on screen — tell the member what they won.
  3. Give the prize and confirm it.

Prize fulfilment queue

When a member spins on their own phone, their prize waits in the fulfilment queue. Work through the list as members come to claim — mark each one given once handed over.

Section 4

Quests — approve or decline

When a member submits a quest that needs proof, it lands in your queue for review.

  1. Open the Quests tab to see pending submissions.
  2. Check the proof (a link or a note). Tap Approve or Decline.Approve → the member's spins (and any badge) are awarded automatically.
Shortcut

You can also complete any quest for a member manually — handy when someone did the task in person and there's nothing to upload.

Section 5

Event check-in

At an event, check members in two ways:

  1. Open Events and pick the event.
  2. Check the member in — either look up their code / QR, or tick them off the RSVP list.Check-in usually awards bonus spins automatically.
Heads-up

You can't check anyone into an event that has already finished. Once a member is checked in, they can't cancel their RSVP.

Section 6

Offers — fulfil requests

Members request offers from their phone; you fulfil them when they come in.

  1. Open the Offers tab to see open orders.
  2. Hand over the offer and mark the order fulfilled. The order clears from the list.

Walk-in? You can create the order on the spot for a member who didn't request it ahead.

Section 7

Add a member

Sign new people up from the Members tab.

  1. Tap New member and fill in their details.A unique member code is generated for them.
  2. If someone referred them, enter the referrer's code so the referral is credited.
  3. Hand the new member their code — that's all they need to log in.
If your club captures ID

Clubs that use the operations module capture more at signup — name, date of birth (18+), ID document, photo and signature, and optionally an RFID card. Follow the on-screen fields; the form won't let you finish an under-18 signup.

Section 8

Operations — door & till

Only some clubs turn this on. If you see an Ops tab, this is for you. If not, skip this section.

The door

  1. Open Ops → Entry.
  2. Identify the member — tap their RFID card, scan their QR, type their code, or search by name.Their photo, age and membership status appear so you can confirm it's them.
  3. Tap Admit to open their visit. The system blocks expired or under-age members and tells you why.
  4. Capacity shows everyone currently inside and how long they've been in. Check people out when they leave (or "Check out all" at close).

Selling

  1. Open Ops → Sell. Pick the member — or tap them from the checked-in list.
  2. Choose the product, then the quantity (a connected scale fills the weight automatically, or type it).
  3. Confirm the sale.A green receipt shows; stock is reduced. Tap "New sale" for the next one.
Fixing a mistake

Made a wrong sale? Open Transactions and void it with a reason — stock is restored automatically. Logging cash you took from the drawer goes under Expenses (amount + reason).
